The Facility Operations Coordinator provides essential support to the Facilities team in the management of their portfolio. This role focuses on administrative coordination, vendor communication, and ensuring that facility-related tasks are completed efficiently. The Coordinator helps maintain facility operations by assisting with service requests, tracking maintenance activities, and supporting workplace organization. Additionally, this role supports the implementation of department best practices and processes during the integration of newly acquired businesses.
• Assist Facilities Supervisors with day-to-day facility operations, portfolio management, communications with service providers, maintenance, data collection and monitor vendor performance• Coordinate service requests, work orders, and follow-ups with vendors and internal teams• Maintain and update facility-related records, including maintenance logs, service contracts, and compliance documentation• Assist in the implementation of department best practices, standardized processes and data gathering during integration projects• Assist in the coordination of infrastructure projects, including renovations, facility upgrades, project timelines, deliverables and space optimization initiatives• Maintain project-related documentation, including schedules, permits, and compliance
• Fully bilingual (English and French)• Strong organizational and time-management skills• Excellent attention to detail and ability to follow processes• Basic knowledge of facility operations, maintenance coordination, or office administration• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio); experience with facility management software is an asset (Yardi)• Strong communication and problem-solving abilities• Ability to work collaboratively with a team and adapt to changing prioritiesEducation & Experience:• 2 to 5 years of experience in facility coordination, administrative support, or customer service or related business• Diploma or certificate in Facilities Management, Business Administration, or a related field preferred• Experience in a multi-location or commercial/industrial facility environment is an assetInformation on compensation:Base salary: $63 000 to $75 000 per yearExtra compensation: yearly bonus
